Equipping your business with a phone system that fits your organization and addresses all of your communication needs can seem like a daunting task at first. Choice of size and capability factors and varying system technologies can overwhelm even the most tech-savvy managers. Following these few tips can help you focus in on the system that has the features that you need and the system that is right for you. 

Identify any problems with your existing system. What is working with your small business phone system and what is not? How old is your existing phone system? Are voicemails sometimes inaccessible and do you lose some of those messages? Do you have different phones from different systems throughout the office? Can you easily enjoy the convenience of conference calls? Are you getting complaints from both employees and customers about its difficulty to use?

Decide what features you need. Today's communication systems can incorporate a plethora of features that help organizations communicate effectively and seamlessly. Available features include video conferencing, multimedia collaboration and instant messaging to name just a few. Business owners also have the flexibility of choosing to own and manage their own phone system hardware, through the aide of a reseller or provider; or by using a hosted or cloud service to manage their communication. This service is generally provided by a VoIP provider, a reseller or even the traditional phone company. Both systems have their advantages, speak with a consultant to figure what would work best for you. 

Determine the new systems ease of use. Having a phone system that is user-friendly leads to better overall communication and production. Making sure that your IT manager and your office manager can both understand and operate its administrative functions can save you from lost time and frustration. Also be sure that training your staff on how to use the system is not complicated and requires minimal time to learn. 

Decide if it fits your budget. Updating a complete phone system should be looked at as an investment but you want one that keeps the total cost of ownership at a minimum. Include initial expense, training, management and fees as part of the overall cost of ownership.
